This Privacy Notice explains how Xylora Studios collects and uses personal information in connection with the Ambassador Program. Xylora Studios is responsible for determining how that information is handled.
1. Information we collect
- identity and contact information;
- application responses and supporting materials;
- communications with us;
- Program participation, referral, tier, and honorarium records; and
- limited technical and security information associated with use of the website.
2. How we use information
We use personal information to administer applications, assess suitability, communicate with applicants, operate the Program, verify referrals, consider honoraria, protect the website and Program from misuse, maintain appropriate records, and comply with legal obligations.
3. Lawful bases
Where UK data protection law applies, processing is based on steps taken at your request before entering an arrangement, our legitimate interests in administering and protecting the Program, compliance with legal obligations, and consent where consent is specifically requested. You may withdraw consent at any time, without affecting prior processing.
4. Automated application assistant
The application uses an automated assistant to present questions and collect responses. Application decisions are not made solely by that assistant. Information entered into the interview may be reviewed for application administration, safety, security, and misuse prevention.
5. Sharing information
Information may be shared with authorised personnel and service providers that support hosting, communications, security, and Program administration. We may also disclose information where required by law, to protect legal rights, or in connection with a business reorganisation. We do not sell personal information.
6. International transfers
Some service providers may process information outside the United Kingdom. Where required, we use recognised safeguards intended to provide an appropriate level of protection for transferred information.
7. Retention
Personal information is retained only for as long as reasonably necessary for the purposes described in this Notice, including application administration, Program records, dispute resolution, security, and legal compliance. Retention periods vary according to the nature of the information and applicable obligations.
8. Your rights
Subject to applicable law, you may have rights to request access, correction, deletion, restriction, portability, or objection to processing. You may also complain to the UK Information Commissioner’s Office. Requests may be submitted through the contact form, and we may need to verify your identity before acting.
9. Security
We use reasonable organisational and technical measures designed to protect personal information. No online system can, however, be guaranteed completely secure.
10. Changes to this Notice
We may update this Notice from time to time. The effective date above identifies the current version.
